Booking Terms 2025

The small print is never the lightest of reading, but is important. Our booking conditions describe our policies and procedures and clarify the contractual relationship between you and Stamford Holiday Cottages. Nothing within this document is designed to ‘catch anyone out’, it is a formality. We therefore ask that if you require any advice, please contact us directly.

1. Contract
Your contract is with Stamford Holiday Cottages, operating from Carr’s Lodge Farm, Stamford, Lincolnshire. The contract comes into effect once you receive written confirmation of your booking.

2. Booking & Payment
A 50% deposit is required at the time of booking. The remaining balance is due 30 days prior to your arrival. Bookings made less than 30 days before the start date must be paid in full.

3. Alterations by the Guest
If, after your booking has been confirmed, you wish to amend your booking in any way, we will do our best to accommodate the changes, subject to availability. An administration fee may apply.
4. Final Payment
If the balance is not received on time, we reserve the right to cancel your booking and retain the deposit.
5. Cancellations by You
Should you cancel, the following charges apply:

0–13 days: 100% of the booking cost is payable

14–30 days: 50% of the booking cost is payable

More than 30 days: No charge.
We strongly recommend that guests take out suitable travel insurance.
6. Cancellation by Us / Non-Availability
In the unlikely event that the property becomes unavailable due to circumstances beyond our control, we will offer an alternative date or provide a full refund. Our liability shall not extend beyond this refund.
7. Pets
Pets are only permitted with prior approval, and must meet the conditions below:

Pets must be kept under control at all times.

They are not allowed in bedrooms or on any furniture.

Pets must never be left unsupervised inside the property.

A pet fee applies, which will be clearly set out in your Booking Form.

Where a listing indicates “Regret no pets”, that property is not pet-friendly.

Assistance dogs are welcome at all times — please notify us when booking.
Please note: Even in non-pet properties, we cannot guarantee an allergen-free environment.
8. Bed linen and Towels
Bed linen and towels Linen and towels are changed at the End Date. If the Customer requires fresh linen and towels during the Rental Period, they should contact Stamford Holiday Cottages and Stamford Holiday Cottages may agree to provide fresh linen and towels subject to the payment of an additional charge.
9. Group Bookings / Parties
We do not accept bookings for hen/stag parties or large gatherings. Our properties are intended for quiet, respectful enjoyment.
10. Number of Guests
Only the number of guests listed on your booking may stay at the property. Exceeding this may result in cancellation without refund.
11. Check-in / Check-out

This allows time for thorough cleaning between guests. Where possible, we are happy to be flexible, but this cannot be guaranteed.
12. Access
We reserve the right to access the property during your stay (e.g. for urgent maintenance) with reasonable notice.
13. Smoking
Smoking is strictly not permitted inside any property.
14. Wi-Fi
Wi-Fi is provided free of charge. Due to our rural location, speed and connectivity may vary and are not guaranteed.
15. Guest Responsibilities
Guests agree to:

Keep the property clean and tidy

Report any damage or breakages

Leave the property in a similar condition as found

Ensure no nuisance is caused to neighbours
We reserve the right to terminate a stay without refund where guests breach these terms or cause serious disruption or damage.
16. Damage
We reserve the right to charge for any damage or excessive cleaning required after your stay.
17. Lost Property
We will notify you of any items left behind and can arrange return by post (at your cost). Items not claimed within 30 days may be donated or disposed of.
18. Parking
Private parking is available on site. Vehicles and contents are left at your own risk.
19. Children
Children are very welcome at Linseed Barn. Parents and guardians are responsible for their safety at all times.
20. Force Majeure
We cannot accept liability or pay compensation for unforeseen circumstances beyond our control, including (but not limited to) natural disasters, fire, flood, pandemics, or local authority restrictions. In such cases, we will work with you to find an alternative date or offer a discretionary refund.
21. Liability
We are not responsible for any accidents, injuries, or loss of personal belongings during your stay.
22. Governing Law
This contract is governed by the law of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
23. Use of Property
The property may not be used for commercial purposes such as photography, filming, photoshoots, influencer content creation, or promotional activity without prior written consent. Guests are strictly prohibited from using the premises for any form of solicitation, including but not limited to canvassing or business promotion. Breach of this condition may result in immediate termination of the stay without refund.
24. Previous websites and conditions
The Website and these Conditions replace and supersede all previous Websites and Conditions.
25. Privacy
We collect and process your personal information in line with our Privacy Policy. Your details are never shared with third parties for marketing purposes.
